Privacy Policy

Last updated October 16, 2026. Optiware (“we”, “us”, or “our”) builds software for complex operations. This policy explains what information we collect through optiware.tech, related contact forms, and Optiware products — including OptiWare FMS (web and mobile), OptiWare TMS (web), and the mobile apps listed below — how we use it, and the choices you have. This policy is intended to meet the transparency expectations of the Apple App Store and Google Play for apps that link to https://optiware.tech/privacy.

This policy applies to visitors of our marketing website and to users of Optiware software products listed below.

When a client organisation (for example a farm, agribusiness, or transport company) uses our products for its workforce or operations, that organisation typically acts as the data controller for employee and operational records. Optiware processes that data on the client’s instructions as a service provider / processor, except where we act as controller for our own business data (such as marketing enquiries or Optiware account administration).

Unless a product-specific notice says otherwise, this policy covers:

  • Website — optiware.tech and related marketing pages
  • OptiWare FMS (web) — farm management platform (operations, HR/payroll, production, warehouse, accounting, and related modules)
  • Optiware FMS / OW Mobile — general FMS mobile app for authorised modules
  • OW Presence — attendance and team presence (offline-capable)
  • OW Production — harvest / production logging (offline-capable)
  • OW Warehouse — warehouse stock, consume/receive, product photos and barcode scan (offline-capable)
  • OptiWare TMS (web) — transport management (vehicles, trips, workshop, finance)
  • OptiWare Driver — driver mobile app for voyages, delivery-note photos, expenses, and trip location while a trip is in progress (offline-capable sync)

We collect information you choose to share, information your organisation configures in our products, and limited technical data needed to run services reliably. Categories relevant to store disclosures include:

  • Account info — email (or other login identifier), password or session tokens, organisation membership, and role/permission metadata
  • Contact info (website) — name, email, and project description submitted via contact forms
  • User content / operational data — attendance and team records; harvest and plantation references; warehouse stock movements and product details; trip/voyage status, expenses, and related operational notes entered by authorised users
  • Photos and videos — product photos (OW Warehouse); delivery-note (bon) and expense photos (OptiWare Driver). Used only for the operational feature the user invokes
  • Location — OptiWare Driver may collect precise location while a trip is in progress (when permission is granted) so dispatch can see load/unload context. Other FMS field apps listed above do not request location for core features
  • App activity / diagnostics — app version, device model and OS, network connectivity, sync and API errors; crash and error events via Sentry (see below)
  • Device or other IDs — internal user id and organisation id associated with diagnostics; not used as an advertising identifier
  • Website usage — pages visited, approximate location, device/browser type; cookies as described in our Cookie Policy

Our FMS mobile apps (including OW Mobile, OW Presence, OW Production, and OW Warehouse) may send crash and handled-error diagnostics to Sentry outside development builds. Events use internal user and organisation identifiers only — not names or email addresses. Free-text fields are scrubbed for sensitive patterns before send. We configure Sentry with sendDefaultPii disabled. Diagnostic data may be processed on infrastructure operated by Sentry (which may include processing outside your country); we use it solely to maintain reliability and security.

Depending on the app and features you use, mobile apps may request permissions. We only use them for the stated in-app purpose:

  • Camera — OW Warehouse (QR/barcode scan, product photos); OptiWare Driver (delivery-note and expense photos)
  • Photo library — OW Warehouse (attach or save product photos), where applicable
  • Location (when in use) — OptiWare Driver only, while a trip is in progress
  • Microphone — may be requested by the OS together with camera/video capture; we do not use microphone audio as a standalone product feature in the FMS field apps
  • We do not use advertising identifiers, and we do not request contacts for these products

Offline-capable apps (OW Presence, OW Production, OW Warehouse, OptiWare Driver, and related sync clients) may store operational drafts, reference data, photos pending upload, and session tokens on the device so work can continue without a network.

Local data is typically cleared or re-synced when you sign out or switch organisation, according to each app’s design. Unsynced drafts may need to be pushed or discarded before changing organisation.

We use personal and operational information only for clear purposes related to providing and improving Optiware’s products and services.

  • Responding to website enquiries and project discussions
  • Authenticating users and delivering product features your organisation has enabled
  • Syncing offline mobile data with our APIs and keeping records consistent
  • Showing trip progress and supporting dispatch (including location while a trip is active, where enabled)
  • Diagnosing crashes, failed syncs, and API errors
  • Protecting services against abuse and maintaining security
  • Meeting legal or contractual obligations when required

We do not sell personal information. We do not use personal data from these workforce apps for third-party advertising. We do not track users across third-party apps or websites for advertising purposes.

We may share limited data with trusted service providers who help us operate our website and products (for example hosting, email delivery, analytics on the marketing site, and crash reporting such as Sentry), under confidentiality and data-processing terms.

Client organisation administrators and authorised users within the same organisation can access operational records according to roles configured in the product.

We may also disclose information if required by law, or to protect the rights, safety, and integrity of Optiware, our clients, or the public.

Our primary product infrastructure is operated for Optiware and our clients. Some subprocessors (for example Sentry for crash reporting, or hosting providers) may process data in other countries. Where required, we rely on appropriate safeguards and contractual terms with those providers.

We keep marketing contact and project enquiry data for as long as needed to respond and follow up, then delete or anonymise it when it is no longer required — unless a longer retention period is needed for legal reasons.

Product account and operational data are retained for the life of the client engagement and according to the client’s instructions and applicable agreements. Crash diagnostic events are retained according to our monitoring provider’s retention settings and our operational needs.

Production API traffic uses HTTPS. Access to operational data is gated by authentication and organisation-scoped permissions. No method of transmission or storage is completely secure; we take reasonable technical and organisational measures appropriate to the sensitivity of the data.

Depending on where you live, you may have rights to access, correct, delete, or restrict processing of your personal information, and to object to certain uses.

If you use our products through a client organisation, contact your organisation’s administrator first for access or deletion of workforce or operational records (including account closure requests). You may also email contact@optiware.tech; we will route requests appropriately with the relevant controller. We aim to respond within a reasonable period and as required by applicable law.

Optiware products and mobile apps are workforce tools intended for adult users authorised by a client organisation. They are not directed at children under 13 (or the equivalent minimum age in your jurisdiction), and we do not knowingly collect personal information from children.

We may update this policy from time to time. The “Last updated” date at the top of this page will change when we do. Material changes will be reflected on this page.
